Now That You Are Starting To Contend In Industry, You Need Desktop Management

The reason for business is to make money, and once engaged in the process, the usual trajectory for successful companies is expansion and growth. Today, it is hard to imagine being able to function in the market place without the use of information technology. For any company that is using computers, the need for desktop management is absolute.

The term certainly sounds like an effort to get employees to adopt a clean desk approach to office work, but that would be erroneous. The goal is to create a network of computers that allow employees to interconnect and communicate to foster the synergy of group approaches to problems. The network also serves to eliminate a fair number of meetings, which tend to increasingly eat productive hours as the number of employees increase. The advent of an internal electronic mail system alone can increase productivity dramatically, allowing employees to contact one another regardless of the time of day or geographic separation. A single mass email has the greatest probability of getting to a group of employees in the fastest possible way than any other. Once transmitted, each employee has the exact same information waiting to be retrieved at their convenience. Once initiated, email usually becomes almost a habit, with employees checking for information on a very regular basis. It is also possible to reduce the cost of software through the use of networks, both in discounts to the required number of copies needed for purchase. Another means of realizing savings comes in the reduction to the manpower required to install and service these programs. With capable technicians, a company can ensure that its employees have the information technology they need to do the job at the lowest costs. The centralization of computer care makes them more efficient in a number of ways. First and foremost, it allows the company to be sure that all the computer products are compatible, which can save a lot of embarrassment and loss resulting from data which can not be presented. It also ensures that all the software in the system is standard, meaning that there are no special programs that individual employees may have fallen in love with. Software is not always as easily installed as we would like, even those which tout a plug and play platform. Inevitably there are some machines display complications with compatibility with the configuration in place, almost the way some people present with allergic reactions to medicines most tolerate well. Dealing with these complications can cost many man hours when preformed by the average worker who maybe skilled with using the computer, but not necessarily with servicing it.

This method of maintaining the information system also helps preserve the integrity of this process, which is often sabotaged by well meaning and hard working employees who mean well. Invariably employees have experimented with a wide variety of programs on their home systems, and often grow quite fond of specific capabilities. In the attempt to either use the same productivity in the office or the desire to share their favorite program, they introduce these favorite programs to the work system.

One of the most common mistakes hardworking, dedicated employees make is bringing work home and then bringing it back, especially if they use their home computer to do the work at home. All the energy effort and money spent to keep the malicious software constantly attacking from the world wide web out of your system could be lost with a single thumb drive. Rarely do home systems have the same level of protection desktop management team installs on the business system, which means the overworking employee could be introducing harmful electrons from home.

The age of the computer has changed business in many ways, allowing the manager unprecedented span of knowledge and control over all processes relating to his business. This has allowed for the use of data and information on an unprecedented scale. The drawback is that the available data for any business can be unwieldy and it is very possible to drown the manager in information. This is the time to leverage the power of processing to control the computer via systems management software.

 

Information is the lifeblood of industry, from determining what product or service is needed to handling the myriad requirements that must all be pulled together to create them. Knowing the customer is a complicated business that is not intuitively obvious, and those who crack the code first are the most successful. Information is the key to the code, and information technology allows for its collection and analysis. As this new era of automation matures, the quest for ever greater detail in the information collected and studied grows until there comes a point where there is simply too much to effectively make sense of.

 

Given the right motivation, we can identify and collect an endless stream of facts concerning our business. There is information about the historical needs and uses of the product, what time of year it is most needed, what additions or complementary products most affect its use and so on. We can even spit details of which employee candidate pool is the most likely to successfully work in our industry and where they can be most easily found, attracted, hired and motivated. Unfortunately, we have not found a way to make the day longer or management more multitask capable than we already have. We can hire others to do parts of the business, but that in itself complicates the process and while we gain flexibility, we lose control.

 

While the data is important and even critical to a competitive organization, the methodology for gleaning information does impact the final data. Once all this data has been collected, the manager must make sense of it and put it to use in a practical way, a difficult endeavor made more complex by not having a good handle on the parameters under which it was collected. This is further complicated by the issue of time, just how much should be spent on the analysis of data?

 

The reason for the explosion of information technology is that, when used well, it is a tremendous boost to corporate efficiency. Communication can be immensely more effective when all the decision makers of a large organization all have the same information at hand when discussing significant strategy and tactics. But it dos not always tell us what is important. A small airline company can produce thousands of data entry points to track and report the systemic progress of getting an airplane in the air on time. But this will never help a manager figure out that what the customer cares about is not the takeoff time, but the landing time at destination.

 

It is the essence of management to see the bigger picture, to make the decisions that will not only allow for the day to day business to get done, but to have a solid feel for what needs to be done to stay in business tomorrow. These two aspects of leadership conflict with a critical element of the reality of management, balancing time requirements. To that end, information systems were initiated to allow the manager greater access to information more quickly. While this has been a success, the data has become increasingly complex, and more and more time is eaten up processing it.

 

If a business is in the manufacturing industry, management does not want or need to spend its time gathering and inputting data about the supply chain, constructing statistical process control charts, or gathering data on trends in the demand for their product or the prices of their supply chain. What they need is that data collected for them by an automated system that collects and collates the information and packages it in a readily identifiable format and delivered to their desktop before the day begins.

 

So while it is important that someone is aware of the collection and interpretation of all the detailed information a company has, there has to be a way to develop that raw data into useful knowledge for each level of management. This is the crux of systems management software, manipulating data collected by software systems to develop actionable information for leadership to run the business efficiently and profitably.
